Owners and admins manage the people in an organization on the Team Permissions page. To open it, go to Settings, then select Team Permissions in the Organization group. A member cannot open this page.

The member list

The member list shows each person in the organization. To find a person, type a name or an email in Search members…. To show only one role, use the role filter. Owners and admins can access every box in the organization. A member can access only the boxes that an owner or admin assigns to the member. For the full list of permissions, see Roles and permissions.

Invite a person

Stout does not send invitation email. When you create an invitation, you get a link. You then give the link to the person. To invite a person:
  1. Select Invite Member.
  2. If you want to set a name for the person, enter it in Display name (optional).
  3. Enter the Email of the person.
  4. Select a Role. Only an owner can select Owner.
  5. Select Create Invitation.
  6. In the Invitation created dialog, copy the link, and send it to the person.
The link expires after 7 days, and it works one time. Each email can have only one pending invitation. You cannot invite a person who is already a member. The person opens the link, enters a display name, and sets a password. If the person already has a Stout account with that email, the person enters the password of that account. For the steps that the person follows, see Get an account.
An account that signs in only through SSO has no Stout password, so it cannot accept an invitation link. If your organization uses SSO, the person does not need an invitation. The first SSO sign-in adds the person to your organization.

Pending invitations

The Pending invitations table lists each invitation that nobody accepted, with its Email, Role, and Expires date. To cancel an invitation, select the X in its row, then select Revoke. The link stops working at once. The table does not show expired invitations, and it cannot send an invitation again. To give a person a new link, create a new invitation.

Change a role

To change the role of a person, select a new role in the Role column. In the dialog, select Confirm. Stout sends a notification to the person. An organization must always have at least one owner. You cannot change the role of the last owner, and you cannot remove the last owner. Only an owner can give the Owner role or change the role of an owner. When an admin opens this page, the Role menus do not show Owner, and the admin cannot change the role of an owner.

Remove a person

To remove a person, open the menu at the end of their row and select Remove from org. In the dialog, select Remove. When you remove a person, Stout does these things at once:
  • The person loses access to the organization.
  • Stout deletes the box assignments of the person.
  • Stout starts to remove the SSH keys of the person from each box that the person had an assignment for.
To leave the organization yourself, open the menu of your own row and select Leave organization. A member cannot open this page, so a member must ask an owner or admin to remove them.

Recover an account

Unlock an account

Stout counts the failed sign-ins for each email. After 10 failed sign-ins, Stout locks the account until 15 minutes after the first failure. A locked account shows a Locked badge in the member list. To unlock the account at once, open the menu of its row and select Unlock account. If a person cannot sign in with their password, you can create a reset link for them:
  1. Open the menu of their row and select Reset password….
  2. In the Password reset link created dialog, copy the link.
  3. Send the link to the person.
The link expires after 24 hours, and it works one time. When the person opens the link, they choose a new password, and Stout signs them in. The reset also unlocks the account and signs out every other session of the account. You cannot create a reset link for an account that signs in through SSO. That person must reset their password at your identity provider.

Box access for a member

Owners and admins can access every box. For a member, you choose each box that the member can access. An assignment gives the member access to the box in the dashboard, in the Lager CLI, and over SSH. For more about box access, see Security and access. To change the boxes of a member:
  1. In the Access column of the member, select the number of boxes. You can also select Manage access… in the menu of the row.
  2. On the Boxes tab, select or clear each box. To find a box, use Search groups or boxes….
  3. Select Done.
Stout saves each change when you select or clear a box. When you give the member a box, Stout sends a notification to the member.
In this list, a box group is a shortcut. If you select a group, Stout assigns every box that is in the group now. If someone adds a box to the group later, the member does not get that box. Assign the new box separately.

Feature access

The Feature Access card controls which members see each feature of your organization in the dashboard, such as Workbench and Factory. Owners and admins always see every feature that the organization has. For each feature, select one of these options:
  • All members: every member sees the feature.
  • Selected members: only the members that you select see the feature.
To give a feature to one member, select Manage access… in the menu of the member, then open the Features tab. For a feature with the Selected members option, select Granted. The card does not show a feature that your organization does not have. To add a feature, contact Stout.
